How the Closed Beta Handles Information

This notice sets out what information Authentic AI, Inc. (the “Company”) collects and how it handles it in the closed beta of Ergane Agent (the “Beta”).

The Company's handling of personal information generally is governed by its privacy policy. This page states what is specific to the Beta, described as the system is actually built.

This English text is provided for reading. The Japanese text is the original; where the two differ, the Japanese text governs.

  1. Article 1What we collect

    To provide the Beta, the Company collects:

    • a participant ID — the identifier the Company assigns when issuing an invitation code, which may contain a name or a short form of an organisation;
    • the invitation code;
    • what you enter into the Beta (your requests and follow-up instructions);
    • information sent automatically with each request — IP address, browser type, timestamp and similar access logs;
    • an authentication cookie, a signed value that keeps you signed in; and
    • the name, organisation and contact details you give when applying for an invitation or making an enquiry.

    The Beta collects no payment information, and does not track behaviour using advertising identifiers.

  2. Article 2Cookies

    The Beta uses exactly one cookie, to keep you signed in. There are no advertising or analytics cookies.

    You can delete it from your browser settings; if you do, you will need to enter your invitation code again.

  3. Article 3Where conversation history is stored

    Your conversation history is stored inside your own browser. It is not stored on the Company's servers.

    It therefore does not follow you to another device or another browser. You can delete it at any time from the interface or from your browser settings.

  4. Article 4Why we use it

    The Company uses the information collected in order to:

    • provide, operate and maintain the Beta;
    • verify participants by matching invitation codes, and prevent misuse;
    • investigate and recover from failures;
    • improve the Beta and develop the general version; and
    • respond to enquiries and send material notices about the Beta.

    If the purpose of use is to change beyond what is reasonably related to the above, the Company will give notice beforehand, by posting on this page or otherwise.

  5. Article 5Transfers to processors

    To produce an answer, the Beta sends what you enter to the following platforms. Each is engaged by the Company as a processor, selected by the Company and supervised under contract.

    • The generative AI platform, which produces the answer itself.
    • The web search and retrieval platform, used to fill gaps not covered by the knowledge.
    • The isolated execution environment, which retrieves and aggregates the knowledge.

    The facilities of these providers may be located outside Japan. By using the Beta, you consent to your input being processed outside Japan.

    The Company does not use your input or the output to train its models, and requires its processors not to reuse them for training either.

  6. Article 6Disclosure to third parties

    The Company does not disclose personal information to third parties without the individual's prior consent, except where:

    • disclosure is required by law;
    • it is necessary to protect a person's life, body or property and consent is difficult to obtain;
    • cooperation with a national or local government body, or a party engaged by one, is necessary to perform a statutory duty and obtaining consent would impede that duty; or
    • the business is succeeded through merger, company split, business transfer or similar.

    Transfers to the processors described above are not disclosures to third parties.

  7. Article 7How long we keep it

    Participant IDs and invitation codes are kept while the code is valid, and for as long as necessary after it is revoked.

    Access logs and processing records are erased without delay once the period necessary for troubleshooting and abuse prevention has passed.

    After the Beta ends, the Company erases the participant IDs and invitation codes it holds.

  8. Article 8Security measures

    To guard against leakage, loss or damage, the Company:

    • encrypts traffic;
    • limits participants by invitation and verifies sessions by signature;
    • keeps authentication material out of the execution environment; and
    • limits the information handled to what providing the Beta requires.
  9. Article 9Disclosure, correction and suspension of use

    Where an individual asks the Company to disclose the personal information it holds about them, to correct, add to or delete it, or to suspend its use or erase it, the Company will verify their identity and respond without delay in accordance with the law, and will report the outcome.

    The Company may decline in whole or in part where doing otherwise would harm the rights or interests of another person, seriously impede the proper conduct of the Company's business, or breach the law.

  10. Article 10Changes to this notice

    The Company may change this notice. A change applies from the moment it is posted on this page.

    For changes that materially affect participants, the Company will give notice beforehand.
